Moving from Excel to Fleet Software: Import Your Existing Bookings Without Starting Over

AI maps every booking field from any Excel, CSV, or text file — no template, no fixed headers needed. Shows converted values for review before import.

The most common reason operators delay switching from Excel to fleet management software is not the cost or the learning curve — it is the data. Years of booking records, customer details, payment history, and driver logs sitting in a spreadsheet that the new system knows nothing about.

Easy Trip Booking's AI import solves this. Upload your existing Excel, CSV, or text file and the system reads every row, identifies each field using an AI model, and creates your full booking history in the platform — without requiring a template, a fixed column layout, or even column headers.

There is no starting fresh. The data you spent years building comes with you.

The Real Barrier to Switching

Excel is familiar, and most operators have years of booking history in it — customer records, payment status, outstanding balances, monthly totals. That history has real business value. It tells you which customers book regularly, which corporate accounts still owe money, and what revenue looked like across any period you choose.

The fear is not learning new software. The fear is losing that history. Most operators assume importing means weeks of manual re-entry, or that the new platform will only accept a rigid template that their sheet does not match. That assumption keeps fleets on spreadsheets long after they have outgrown them.

Neither is true.

How AI-Powered Import Works

When you upload a file — Excel, CSV, or plain text — the system uses an AI model to analyse every row individually and decide what each value represents. It does not rely on column headers to figure out the structure. Whether your sheet has proper headers, no headers at all, or headers that use your own terminology, the AI reads the data itself and determines which field is which.

A column of 10-digit numbers starting with 6, 7, 8, or 9 is recognised as Indian mobile numbers — whether or not the column is labelled "Phone". A column where every cell contains a date-like pattern is read as dates, and the format is inferred from the data across rows, not assumed upfront. If different rows in the same column use different date formats — some in DD/MM/YYYY, others in MM-DD-YY or Month DD YYYY — the AI normalises each one before presenting the result to you.

A phone number entered as "+91 98765 43210", "9876543210", or "98-765-43210" is treated as the same field. A customer name entered in all caps, title case, or lowercase is read correctly regardless. The AI adapts to however the person who built the original spreadsheet chose to enter data.

The fields the AI looks for include:

  • Journey date and booking date — when the trip was recorded and when it happens
  • Customer name and phone number — to create or match existing customer records
  • Pickup and drop location — the trip route
  • Vehicle type and driver name — for assignment records
  • Fare, advance paid, and balance due — for payment tracking
  • Payment status — Paid, Partial, or Pending
  • Trip type — Local, Outstation, or Airport
  • Notes or remarks — any additional details logged against the booking

Review Before Anything Is Created

Before any booking record is written, the system shows you what it has understood. Every row is displayed with its converted values — the date it read, the customer name it parsed, the fare it extracted — so you can see exactly what will be imported.

Where the AI is uncertain — a date that could be read as either DD/MM or MM/DD, a phone number that appears to have a missing digit, a field that does not match the expected pattern for its type — it flags that row with a note explaining what it found and what it assumed. You can correct the value before confirming.

This step means you are not discovering import errors after the fact. You see the converted result for every row before anything is written to the platform. Review it, adjust anything that looks wrong, and confirm. Only then are the records created.

What Gets Created on Import

Once the mapping is confirmed, the system creates booking records automatically for every row in your sheet. You also have the option to simultaneously create:

  • Account records — outstanding balances are carried across, so your receivables are immediately visible in the platform without manual re-entry
  • Invoice records — historical invoices are generated from the imported data, giving you a searchable invoice history from day one

The result is that your platform is not empty when you start using it. Your existing customers, bookings, and payment status are all there — and new bookings from that point forward follow the automated workflow.

What This Means in Practice

For an operator switching after two years on Excel, the import might bring across 4,000 to 6,000 historical bookings. That history tells you which customers book frequently, which corporate accounts have outstanding balances, and what your revenue looked like month by month.

Without import, that context disappears. With it, the first week on the new platform feels like a continuation of the business rather than a reset.

The manual coordination that Excel requires — driver notifications, customer updates, invoice generation — becomes automated from the day of the switch. The historical data that Excel contained moves across in a single upload.

The Transition Is One Afternoon

Prepare your existing file — Excel, CSV, or text — remove any columns that are purely internal notes with no booking relevance, and upload. The AI processes every row and presents the converted values for your review. Confirm, and the bookings are created. The whole process takes a few minutes regardless of how many rows are in the file.

From that point, new bookings follow the automated workflow, drivers receive trip details automatically via WhatsApp, customers get tracking links, and invoices generate the moment a trip is marked complete.

The data you spent years building does not need to be left behind.

Easy Trip Booking's AI import reads any Excel, CSV, or text file of existing bookings — no template, no fixed format required. Every row is checked, converted values are shown for your review, and booking, account, and invoice records are created only after you confirm. Book a free demo to see the import in action.
